Ruwatib ("we", "us", "our") respects your privacy and is committed to protecting the personal data you share with us. This Privacy Policy explains how we collect, use, store, and protect your information when you use our WPS salary file generation platform.

Account information: Name, email address, phone number, and password when you create an account.

Organization information: Organization name, company names, MOL establishment IDs, bank routing codes, and IBAN numbers.

Employee data: Employee names, unique IDs, bank details, and salary information that you enter to generate WPS files.

Usage data: Log data including IP address, browser type, pages visited, and timestamps for service improvement and security.

3. How We Use Your Information

We use your information solely to:

• Provide and maintain the Service
• Generate WPS salary files as requested
• Authenticate your identity and secure your account
• Send transactional emails (account verification, password resets)
• Improve the Service based on usage patterns
• Comply with legal obligations

4. What We Do NOT Do

• We do not sell your data to third parties
• We do not share employee or salary data with anyone
• We do not use your data for advertising

5. Data Storage and Security

Your data is stored on secure servers hosted in Europe (Hetzner Cloud, Germany). All connections are encrypted via TLS/SSL. Database backups are encrypted and retained for disaster recovery purposes only.

We implement industry-standard security measures including:

• Encrypted data transmission (HTTPS/TLS)
• Hashed passwords (bcrypt)
• Role-based access control
• Regular security updates

6. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal data and employee records within 30 days. Generated WPS files and pay run history are deleted along with your account. Anonymized usage data may be retained for analytics.

7. Your Rights

You have the right to:

• Access your personal data at any time through the Service
• Correct inaccurate data through the Service or by contacting us
• Export your data (employee records, pay run history)
• Delete your account and all associated data
• Object to processing of your data

We use the following third-party services:

• Hetzner Cloud (hosting) - data processed in Germany
• Postmark (transactional email) - email addresses only

No employee or salary data is shared with any third party.

10. Children's Privacy

The Service is not intended for use by individuals under 18 years of age. We do not knowingly collect data from minors.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email. The "Last updated" date at the top indicates when the policy was last revised.
